Important: This article outlines the steps for adding a new user at both the Church Manager and Consolidation Manager levels. Church Manager
Adding Church Administrators
Important: This applies only to users who are not part of a larger managing organization, such as a diocese. If you belong to a diocese, you must contact them to add users.
Users with the Church Administrator permission level may add new Church Users.
If your Church Administrator has resigned or is unable to access the account, please send an email to support@parishsoft.com and attach a written letter from the Pastor, requesting that a new church administrator be added as a user.
The letter must be written/typed on official church letterhead and include the following:
- Church Name
- Address
- Zip code
- Org ID (This ID is in the upper right corner of your ParishSOFT Accounting screen. Example: (1242)
- First and last name of the user to be added as Church Administrator
- Email Address of the new user
- Dated signature of the Pastor
Adding Church Users
Important: Users with Church Administrator permissions can add new Church Users; however, if your organization does not have any Church Administrator designations, you must contact your managing organization, such as your diocese, to add new users.
- Navigate to the Church Manager > Users > Add a New User button.
- Fill in the fields shown in the screenshot below.
Note: The MFA Username field will default to the Email Address once the New User is submitted. This username cannot be changed unless the email address is updated. Multi-Factor Authentication requires each user to have a unique email address.
- Users will receive a Password Set Request email from support@ministryid.com.
- Click the "here" link in the email to be redirected to the Change Your Password page.
Consolidation Manager
Important: This area of the module is intended for use only by diocesan-level users. It is also important to note that the Consolidation Manager lacks an audit trail. All church-level users should be entered via the Church Manager module to ensure that data entry can be tracked through the Audit Trail.
Steps for Diocesan Administrators:
- To add a New User, navigate to Consolidation Manager > Users > Add a New User.
- Fill in all the fields, double-check that you have marked the user as Active, and then click Submit.

- After clicking submit, users will receive a Password Set Request email from support@ministryid.com.
- Click the "here" link in the email to be redirected to the Change Your Password page.
Important: After setting your password, the system does not automatically redirect users to the login page. You will need to refresh your browser or open a new tab and enter your ParishSOFT Accounting URL.
- The New User must complete the Account Verification, password set, and multi-factor authentication processes to log in successfully.
New User Multi-Factor Authentication
- Enter your unique ParishSOFT Accounting Database URL into your web browser.
- Enter the Email address used to create your PSA staff account and click Continue.
- Choose one of the authentication methods listed below:
Authenticator App:
- Download iPhone/Android applications, for example: Google Authenticator or Microsoft Authenticator.
- Open your Authenticator App and scan the QR code below.
- Enter the 6-digit code generated in the authenticator app.
- Click Continue.
SMS Verification:
- With SMS Verification, you will receive a text message with a verification code to your cell phone.
- Enter the phone number of a cellular device (personal or work) in the office |and click Continue.
- Open the text message and enter the 6-digit code sent via text message, and click Continue.
Recovery Code:
- Copy the unique Recovery Code for your account.
- It is essential that you store this code somewhere for safekeeping AND easy accessibility in case you cannot log in to your account with other MFA methods.
- Click the "I have safely recorded this code" checkbox and select Continue.
Note: The Recovery code is necessary to log in to Accounting if you cannot access a cell phone (SMS) or an authenticator app on a smartphone. Without your recovery code, you will need to contact Support to gain access to your account. In any case, a mobile device is necessary for MFA. Our development team is working on bringing you alternative solutions down the road!
Optional Steps:
- If you have access to multiple organizations, you will be prompted to select an organization.
- Click the Login button next to the organization you want to log in to.
- You can always return to the organization selector page by clicking Organizations in the top right corner of the screen.
